Carefully read the following:
Grow Management Consultants is a small consultancy company specialising in leadership development services. These include training for members of companies’ management teams and providing networking opportunities to managers from a wide variety of companies.
To assist with having a more corporate and standardised approach to documentation, you have been contracted by the company to design and develop a number of business documents that are produced by Grow Management Consultants. They have also recently commissioned a design company to produce a new logo and a Style Guide, and it will be your responsibility to use these to ensure that the company’s documentation has a similar, modern look.
You will begin the process by designing and developing templates for the following documents as these have been identified as key documents used by the company and that are reviewed by customers:
Project Proposals
Conference Program
Presentation Template
Strategic Plan
As a first step, you will be meeting with the company’s Operations Manager, Margaret Burns, who will discuss what the company expects from you over the next few weeks.
Complete the following activities:
1.Participate in a meeting to discuss document requirements You are required to participate in a short meeting with the Operations Manager (your assessor) to discuss the company’s documentation requirements. You will also discuss the ways in which the document should comply with the company’s style guide, so make sure that you are familiar with that document prior to the meeting.
Following the meeting you will be required to write a briefing report so as to confirm the company’s requirements, so read through the Briefing Report Template before attending the meeting so that you know what information you need to find out.
Bring along a pen and paper, or your laptop, to take notes.
During the meeting, you are required to demonstrate effective communication skills including:
Speaking clearly and concisely
Using non-verbal communication to assist with understanding
Asking questions to identify required information
Responding to questions as required
Using active listening techniques to confirm understanding
2.Write a briefing report
Following the meeting, write up your notes, using the Briefing Report Template.
Your briefing report should include, as a minimum, the following:
An introduction
Summary of the company requirements. This should include how the text will be entered into the documents, how the documents will be stored, and how they will be used. The requirements should also include the quality of document design and how the documents will be produced. You should also identify and summarise legislation that the documents ust comply with.
The company’s current information technology capability and how this will impact the design and production of the documents.
The budget for developing the new document templates.
The purpose, audience and information requirements of each document.
Details of at least two local experts who could assist the company with developing their web-based documentation document design and development in the future.
Save this document as Briefing Report.
3.Draft an email to the Operations Manager
The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style.It should introduce and summarise the contents of the attachment and seek their feedback and approval to move forward with the project. Attach your Briefing Report to the email.
4.Create a Project Proposal template
As set out in the meeting, although project proposals have been written often in the past, there is no formal template for them.Develop a suitable template that will meet the objectives for the document as discussed at the meeting. See Project Proposal Template Text for the wording of the template. Where dates, details, etc. are to be added, place ,
Write the document’s headings in the template and as much of the text as appropriate to show how the document will be structured.

5.Create a Strategic Plan template
As set out in the meeting, this is to be the company’s first Strategic Plan and there is no formal template for this. Develop a suitable template that will meet the objectives for the document as discussed at the meeting. Where dates, details, etc. are to be added, place ,
Write the document’s headings in the template to show how the document will be structured. Include a brief summary under each heading to show the content that will be included.

6.Create a Conference Program template
As set out in the meeting, despite the fact that Grow Management Consultants commonly provide conferences as part of the services that they provide, there is no formal template for this.
Develop a suitable template that will meet the objectives as discussed at the meeting.
Write the document’s headings in the template to show how the document will be structured. Include a brief summary under each heading to show the content that will be included.

7.Create a presentation template
As set out in the meeting, despite the fact that Grow Management Consultants commonly give presentations as part of the services that they provide, there is no formal template for these.Develop a suitable template in PowerPoint (or another presentation program) that will meet the objectives as discussed at the meeting.
Write the document’s headings in the template to show how the document will be structured. Include a brief summary under each heading to show the content that will be included. Save this document as Presentation Template.
8.Draft an email to the Operations Manager (your assessor).
The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style.
It should mention the recent meeting and their approval to go ahead with the project in response to the Briefing Report that you submitted.
The email text should also give a short summary of the attached templates and ask for their feedback on these.

9.Draft an email to the two administrative staff members (your assessor).
The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style.
It should summarise the reasons for developing the templates, give a short summary of the attached templates and ask for their feedback on these.
Attach the following to the email:

Strategic Plan Template
Conference Program Template
Presentation Template
10.Amend templates as requested.
Make any changes to your templates that are suggested by the Operations Manager and the Administrative staff. Save these as Newsletter Template Amended or Strategic Plan Template Amended as appropriate.
11.Draft an email to the Operations Manager and the administrative staff (your assessor).
The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style.
It should summarise the changes that you have made to the templates. The email text should also include your evaluation of whether the current technological limitations allow for this to be done. contents of the attachment(s) and seek their approval to move forward with the project.
Attach your amended template(s) to the email.
12.Take a screen shot of your folder and files. You are required to demonstrate that you can file all of your records in a logical structure. Ensure that you create folders on your desktop as set out in the company’s Style Guide and file the documents correctly in these.
All of the documents you have submitted for this assessment task should be correctly named as set out on page 4 of this booklet and filed in the appropriate folder.

13.Draft an email to your assessor. The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style. It should introduce and summarise the contents of the attachment. Attach your screen shot to the email.
